Charge
The IAML Programme Committee is responsible for creating and shaping the annual conference programme. This charge is carried out in collaboration with the chairs of the association’s various branches, subject commissions, and committees.
Membership
The Programme Committee is comprised of the following members:
- the IAML President
- the IAML Past-President
- a IAML Vice-President, who chairs the committee
- the IAML Secretary-General
- three IAML members as appointed by the IAML Board
- the chair of the Local Organizing Committee for the present conference and the upcoming conferences
- the immediate past-chair of the Programme Committee
Terms
The IAML President, Past-President, Vice-President, and Secretary-General serve on the Programme Committee for the length of their term of office. The three IAML members appointed by the IAML Board also serve a term of three-years, each staggered so that there is a turnover of one such member every year. The chairs of the Local Organising Committees serve two year terms, one for the present conference, and one for the upcoming conference. If members of the Programme Committee cannot serve out their term, a replacement will be appointed by the IAML Board in consultation with the Chair of the Committee. To provide continuity, the immediate past chair of the committee will serve an additional three-year term.
Procedures
The Programme Committee, via the IAML Website and related listservs as appropriate, sends out a call for papers and for poster sessions for the upcoming meeting soon after the close of the present conference. Deadlines will be clearly indicated in the call for papers and poster sessions, and strictly adhered to. A separate table of deadlines for the conference programme will be disseminated electronically to IAML chairs for their use. The online submission process is as follows:
- There are two online submission forms:
a) one for IAML chairs (this will be password protected)
b) one for a general call for papers (this will not be password protected)
- The programme submitted by IAML chairs will be automatically accepted for the one session that the chairs are responsible for creating.
- The Programme Committee will create the rest of the programme, which, once formed, will be shared with the IAML chairs for their information. There will be an opportunity for chairs to move papers from session to another. However, since these papers will already have been officially accepted for the programme, it will not be possible to reject a paper or session that has been created by the Programme Committee.
- Successful applicants will be notified by the Secretary-General that their papers have been accepted for the upcoming conferences, and rejections will be sent to authors of proposals that were not accepted.
- Even if they have not planned the sessions themselves, it is the responsibility of the chairs of IAML’s various branches, subject commissions, and committees to contact speakers in those sessions, as well as to to organise abstracts, translations, and equipment requests in accordance with the deadlines set by the Programme Committee.
- Sessions with no affiliation with IAML’s various branches, subject commissions, and committees shall be sponsored by the Programme Committee, who will identify appropriate chairs for these sessions.
- The selection of the poster session participants will be the responsibility of the Programme Committee.
Travel support
The Programme Committee administers an annual travel fund of 1000 €. The policy governing this fund was approved by the IAML Council at its meetings in Warsaw, Poland in 2005.
